Navigation pane in Outlook

Outlook has a navigation pane which helps users to access different navigation items such as Mail, Tasks, Calendar, Contacts etc.etc.. Listed below are the steps to use and change display sort order of navigation pane in Outlook 2016, Outlook 2013 and Outlook 2010

Compact Navigation

The navigations in Outlook 2013 is by default set to larger font size. And if you want to reduce the font size then you can go for the compact navigation option. This can be done by clicking on the option next to Tasks and select Navigations Options from the list.

Mark the check box with caption as Compact Navigation, then click OK to confirm the changes.

Now the Outlook 2013 navigation options should look as shown below i.e instead of text you will notice the icons.

Number of visible navigation items

The different navigation items that are available as part of navigation options are Mail, Calendar, People, Tasks, Notes, Folders and Shortcuts. And by default only 4 items are displayed as part of the navigation options. Outlook 2013 users can increase or decrease the display of the navigation items using the “Maximum number of Visible items” field. And this will not work for the Compact navigation option. For example if you want to include the Notes, Folders and Shortcuts then set the value for Visible items to 8.

Also if you want to change the display order of the items then you can use the Move Up and Move Down option available as part of the Navigation Options window

If you want to add or remove any of these buttons in the navigation pane then you can click on the drop down arrow available at the bottom of the navigation pane.


In the menu list select Add or Remove Buttons. On navigating to the side arrow will display the different buttons. By selecting or unselecting these buttons you can either add or remove the buttons in Navigation Pane Options.

You can also change the display order of the buttons using the Navigation Pane Options. After changing the order, click the OK button to confirm the changes.
